This Privacy policy describes how we collect, use, disclose, retain, and safeguard personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's federal private-sector privacy legislation, and the Personal Information Protection Act (PIPA) of Alberta, which applies to our operations as an Alberta-based corporation registered under business number BN 842345678AB0001.
1. Accountability
Coffee Roasters Pro is responsible for personal information under our control. We have designated a privacy officer accountable for our compliance with PIPEDA and Alberta PIPA. - Responding to franchise kit requests, package tier enquiries, partner onboarding calls, and general inquiries submitted through our contact form or email;
- Processing and evaluating franchise applications during the onboarding pathway;
- Communicating with prospective and existing franchise partners regarding package tiers, training schedules, equipment delivery, and supply contracts;
- Operating and improving the coffeeroasters.pro website, including analytics on page usage and user experience;
- Complying with legal and regulatory obligations under Alberta and Canadian federal law;
- Maintaining records required for franchise disclosure, financial qualification review, and contractual obligations;
- Sending marketing communications about Coffee Roasters Pro franchise opportunities, where you have provided explicit consent.

We limit the collection of personal information to that which is necessary for the purposes identified. Information collected through our contact form includes your name, email address, subject selection, and message content. During franchise onboarding, we may additionally collect business address, phone number, financial qualification documents, and identity verification information — but only to the extent required for the specific onboarding stage and package tier.
We collect personal information by fair and lawful means and do not collect information through deceptive practices. Our website includes a honeypot field on the contact form to deter automated submissions; this field is hidden from human users and any data entered into it is discarded without processing.
5. Limiting use, disclosure, and retention
We do not use or disclose personal information for purposes other than those for which it was collected, except with your consent or as required by law. Personal information is retained only as long as necessary to fulfil the identified purposes or as required by applicable legislation, including Alberta's Limitations Act and federal tax record-keeping requirements.
We may disclose personal information to the following categories of third parties, strictly for the purposes described in this policy:
- Service providers who assist with email delivery, website hosting, analytics, and customer relationship management, bound by contractual obligations to protect personal information;
- Legal, accounting, and financial advisors engaged in franchise disclosure, due diligence, or regulatory compliance;
- Equipment suppliers and green bean supply partners, where disclosure is necessary to fulfil franchise package delivery obligations and you have consented to onboarding;
- Government authorities, regulatory bodies, or law enforcement agencies when required by Alberta or Canadian federal law, court order, or legal process.
We do not sell personal information to third parties. We do not disclose personal information to organisations outside Canada without your consent, except where permitted under PIPEDA's cross-border transfer provisions and subject to contractual safeguards ensuring comparable protection.
6. Accuracy
Personal information shall be as accurate, complete, and up-to-date as is necessary for the purposes for which it is to be used. You are encouraged to notify us of changes to your contact information or other personal details. Franchise partners may update their records through their partner portal or by contacting their assigned onboarding coordinator.
7. Safeguards
We protect personal information with security safeguards appropriate to the sensitivity of the information. These safeguards include:
- Transport Layer Security (TLS) encryption for data transmitted through coffeeroasters.pro;
- Access controls limiting personal information to authorised employees and contractors on a need-to-know basis;
- Secure storage of physical and electronic records at our Calgary headquarters;
- Regular review of security practices and incident response procedures;
- Password policies and multi-factor authentication for internal systems containing personal information.
While we implement commercially reasonable safeguards, no method of transmission over the Internet or electronic storage is completely secure. We cannot guarantee absolute security but commit to notifying affected individuals and the Office of the Privacy Commissioner of Canada of any breach of security safeguards involving personal information, as required under PIPEDA's breach notification provisions.

9. Individual access

You may request correction of inaccurate or incomplete personal information. We will respond to access requests within thirty calendar days unless an extension is permitted.
